HubSpot + QuickBooks — accounting data where your team sells
Invoices, payments and customer records flowing between HubSpot and QuickBooks Online — so sales sees billing reality and finance sees pipeline context without manual reconciliation.
A HubSpot QuickBooks integration keeps your invoices, payments and customer records in sync between your CRM and accounting system. When a deal closes in HubSpot, the right customer and invoice data appears in QuickBooks; when payment lands, HubSpot reflects it on the company record. Vestal Hub is a HubSpot Gold Solutions Partner trusted by 100+ companies — we design the sync rules, field ownership and workflows so both systems stay aligned.

FAQ
- Does HubSpot integrate natively with QuickBooks?
Yes — HubSpot connects to QuickBooks Online through marketplace integrations that sync customers, deals and invoices. The native path covers common SMB workflows, but field mapping, deduplication and deal-to-invoice timing usually need configuration beyond the default install. We set that up so the connector matches your process.
- Can HubSpot sync closed-won deals to QuickBooks invoices?
Yes — that is one of the most common patterns we implement. A deal reaching closed-won can create or update a QuickBooks customer and trigger invoice creation, with the invoice reference visible on the HubSpot record. We configure the timing and rules so finance stays in control.
- Will payments in QuickBooks update HubSpot automatically?
They can. Payment events from QuickBooks can flow back to HubSpot as timeline activity and properties on the company record, so sales and success see paid versus outstanding without asking finance. We define which payment types sync and how partial payments are handled.
- What about QuickBooks Desktop?
QuickBooks Desktop uses a different API and connector landscape than QuickBooks Online. Most teams we work with are on QBO; if you are on Desktop we assess whether an integration path exists for your edition or whether a migration to Online makes sense first.
- How do you prevent duplicate customers?
We establish match keys — typically email, company domain or a shared external ID — and deduplication rules before sync goes live. We also decide which system creates new customers and which system updates existing ones, which prevents the back-and-forth that creates duplicates.
- What does a HubSpot QuickBooks integration cost?
It depends on complexity — a configured marketplace connector is different from a custom multi-entity build. We quote after a short call once we understand your deal-to-cash flow and which QuickBooks edition you run.
- Can we sync products and line items between HubSpot and QuickBooks?
Yes — product catalogs and line-item mapping are part of most deal-to-invoice integrations. We align HubSpot line items or products with QuickBooks items so invoices generate with the right descriptions and amounts without manual editing.
