A technical audit checklist to spot debt before it costs revenue.

How to use this checklist

You don't need to be a developer to run this audit. Open this document on one screen and your HubSpot portal on the other. Go through the 6 sections below. If you cannot confidently check the boxes, you likely have technical debt in that area.

 

The "Ghost" Data Check (Hygiene)

Orphans, duplicates, and billing leaks.

 

Bad data doesn't just annoy sales teams; it costs money. You might be paying for contacts you shouldn't be, or losing context on deals due to missing associations.

The Financial Check:

Go to 'Contacts' and filter by "Hard Bounce Reason is known". If these are marked as 'Marketing Contacts', you are literally paying HubSpot to email dead inboxes.

Pipeline Pulse Check (Sales)

Stale deals and pipeline clutter.

 

A bloated pipeline kills forecasting accuracy. If you have deals from 2022 still sitting in "Negotiation," your revenue projections are fake.

How to spot this:

Filter your deals by "Close Date" is "More than 30 days ago" AND "Deal Stage" is not "Closed Won/Lost". These are your "Zombie Deals."

Orphaned users and dangerous permissions.

 

Often overlooked, "User Management" is a major risk area. We frequently find ex-employees who still have Super Admin access to export your entire database.
